Job Description

Material request handling

  • Collation of all indents/material requests received every day on weekly basis for total list of components required for the week from the Store Keeper
  • Preparation of quotation requests from relevant vendors for the list of components in the material request
  • Sending quotations to vendors as per the list of components in the material request
  • Ensuring receipt of quotations from the vendors within 7 working days
  • Preparation of comparative statement of cost for all components
  • Elicit appropriate cost of individual components for reference from online sources
  • Arriving at the list of vendors with least cost for components required
  • Negotiating with vendors for further price reduction, terms of credit and delivery time lines
  • Preparation of purchase approval note
  • Release of purchase order for supply

Receiving Material

  • Receive material from suppliers ensuring all documents such as Delivery Challan, Invoice, etc. are in place
  • Ensuring security seal, finance seal for having received the material and documents along with the package
  • Handing over the package (without opening) and documents to stores for checking for the correctness of supply as per the PO
  • Follow up with Stores to ensure timely acceptance of the components received by arranging for inspection by the indenter
  • Receive back the documents from the stores and pass the same on to accounts department

Interaction with Vendors

  • Periodic follow up with vendors for getting quotation against request for quotation
  • Periodic follow up with vendors for getting deliveries as per the accepted delivery period
  • Vendor management in answering questions about payment, rejected material return and replacement, etc.
  • Prepare report of payments to be released to vendors based on their agreed payment terms and update the same on a weekly basis and forward to accounts
  • Also raise the payments to be released list with the management, from time to time, to ensure vendor satisfaction

File management

  • Material requests received by Excel should be properly stored and archived in soft copy format
  • Weekly data of Material requests should be properly stored and archived in soft copy format
  • Quotation requests sent to vendors should be stored and archived in both hard copy in relevant files and soft copy format
  • Weekly comparative statement to be filed in hard copy and soft copy systematically for easy reference
  • Cross verify Excel sheet containing details of material requests, receipt of material, base price of material, taxes applicable, customs duty, if any for correctness of data entered by store keeper
